Most community AFL clubs are fuelled by passion, not policy. Volunteers often step into committee roles with limited guidance, unclear expectations, and no formal onboarding. Without structure, even the best intentions can result in confusion, burnout, poor decision-making or serious governance risks.

When governance fails, clubs pay the price – financial mismanagement, reputational damage, loss of volunteers and even player safety risks. And yet, many clubs still operate with vague or outdated role descriptions, unclear chains of accountability and a lack of visibility over core governance tasks.

PROGRAM MODULES

1. President

As the face and leader of the club, the President is responsible for strategic oversight, managing the committee, and ensuring the club remains aligned with its mission and obligations. This module outlines their leadership responsibilities, decision-making duties, conflict resolution strategies, and how to build a strong, accountable culture from the top.

2. Secretary

The club’s communications and compliance engine. This module guides Secretaries through key tasks such as managing correspondence, scheduling meetings, taking minutes, lodging required documentation, and maintaining accurate records - all while keeping the committee organised and informed.

3. Treasurer

The financial gatekeeper of the club. This module ensures Treasurers understand their responsibilities around budgeting, cashflow, audits, reconciliations, payments, and transparency. It also helps demystify financial reporting and promotes collaboration across the committee for sustainable decision-making.

4. Vice President

The club’s second-in-command. This module defines the VP’s support role to the President, how they can help drive special projects or portfolios (e.g. facilities, sponsorship, or culture), and what it means to be a future leader, sounding board, and strategic thinker.

5. Registrar

The guardian of player and team records. Registrars play a critical administrative role, and this module provides step-by-step guidance on managing player registrations, transfers, communications with league officials, and the importance of data accuracy and integrity.

6. Child Safety Officer

A shared executive checklist that cuts through confusion and ensures all key governance tasks are accounted for, with responsibilities clearly allocated to the right person. It’s the ultimate "who does what" guide - built for real-world use.

7. Concussion Officer

This football-specific calendar highlights important deadlines, recurring governance tasks, and seasonal priorities from pre-season planning to finals and post-season reporting. It keeps your committee proactive, not reactive, and ensures nothing falls through the cracks.
